    AMA is looking for a Manager, Accounts Payable & Procurement in Saranac Lake, NY to manage all functions of the Accounts Payable/Procurement department. Provide leadership and direction to staff, plan and monitor workflow to meet deadlines, and ensure vendor and customer satisfaction.  Manage and provide strategic sourcing and procurement support to all AMA business units, identifying suppliers, products and services that best meet AMA’s needs for cost effectiveness quality and functionality.  Recommend and implement approved policies, procedures and objectives and training in accordance with Corporate objectives.     • Plan, monitor, and support activities of the Accounts Payable and Procurement functions, ensuring the department meets all schedules and deadlines and operates within the boundaries of the appropriate internal control structure.
    •  Ensure the Accounts Payable department adheres to AMA’s policies and procedures, in particular, AMA’s Authorization Levels for Financial Commitment policy and AMA’s Travel Policy.
    • Responsible for all facets of Federal and State 1099 reporting requirements, including administering and coordinating the year-end forms for recipients, remitting the electronic file to the Internal Revenue Service, obtaining W-9’s, processing B Notices and handling state and federal tax levies.
    • Prepare and adhere to 1042 foreign tax reporting requirements, including meeting the required deadlines.
    • Prepare and adhere to all 592 California tax reporting requirements, including meeting the required deadlines.
    • Provide information and analyses that assist in forecasting disbursements and financial planning.
    • Responsible for system integrations that flow through Accounts Payable (AmEx Purchasing Card, Travel, Refunds, ADP, Speaker, Royalty, etc,).
    • Oversee AP’s role in processing speaker invoices through the Speaker Invoice System in Business Web.
    • Support external auditors during year-end audit.
    • Create ad hoc reports when requested in response to senior management and operating manager's requests.
    • Oversee the administration of the ADP Expense Expert System.
    • Oversee the administration of the AMEX Purchasing Card and related reconciliation system.
    • Review and sign off on all credit applications.
    • Maintain and monitor relationship between the AP and procurement functions to insure prompt payment of invoices and resolution of discrepancies between purchase order and invoice.
    • Responsible for the implementation of and compliance with purchasing policies and maintaining quality and ethical standards throughout AMA.
    • Lead and/or participate in projects relating to the department.
    • Develop and mentor staff to reach optimal potential.
